1. General Consulting Engagement Policy
At Cortex Tempohub Consulting Ltd., we provide professional programming consulting, systems architecture, and observability implementation services. Because our work involves reserving senior engineering time, conducting live paired sessions, and drafting custom configurations, this policy defines the terms governing refunds, cancellations, and rescheduling.
2. Observability Health Audit Engagements
For fixed-price diagnostic audits ($3,800 fixed fee):
- Cancellation Prior to Work Commencement: If the Client cancels the audit before any technical documentation review or system access has begun, a full 100% refund of any prepaid fee will be issued minus standard wire/processing transaction fees.
- Work Already Commenced: If cancellation occurs after our team has accessed monitoring endpoints or begun diagnostic analysis, a partial refund of 50% may be granted.
- Completed Audits: Once the final assessment report and technical findings document have been delivered, audit fees are strictly non-refundable.
3. Milestone-Based Consulting Rollouts
For phased architectural implementations (such as our Full-Scale Observability Architecture):
- Completed Milestones: Fees paid for completed and accepted milestones (e.g., Discovery & Blueprint, Staging Pilot) are non-refundable.
- Future Unstarted Milestones: Either party may terminate future unstarted milestones upon providing 14 calendar days written notice. Any prepaid deposits allocated to unstarted phases will be refunded in full.
- In-Progress Milestones: In the event of early termination during an active milestone, billing will be reconciled based on actual engineering hours delivered up to the date of notice.
4. Rescheduling Workshops & Paired Sessions
We understand engineering priorities can shift. Scheduled architectural workshops or paired engineering sessions may be rescheduled with at least 48 hours advance notice at no additional charge. Rescheduling requests made with less than 24 hours notice may incur a modest scheduling adjustment fee to cover reserved practitioner availability.
5. Refund Request Process & Timeframes
To request a refund or formally cancel an engagement milestone:
- Submit a written cancellation notice by email to info@cortex-tempohub.click referencing your Statement of Work identifier.
- Our practice lead will review the deliverable status and provide a written reconciliation calculation within 3 business days.
- Approved refunds are processed within 7 to 10 business days via the original payment method (international bank wire or corporate transfer).
